Role Description
- The Program Operations Specialist supports the Supply Chain Program Management team through daily operation of the Change Management intake portal and approval workflows. This role ensures requests move smoothly through the lifecycle, conducts data checks, and coordinates with cross-functional partners to drive timely follow-through. The Specialist also provides foundational PMO (Program Management Office) support by organizing WBR (Weekly Business Review) and MBR (Monthly Business Review) materials, tracking required metrics, coordinating updates from stakeholders, and maintaining consistent governance across decks and reporting cadences.
- This position serves as the operational backbone of the Program Management team, handling the detailed coordination and execution that enables larger strategic initiatives to succeed. You'll be the person who ensures nothing falls through the cracks—that change requests are processed efficiently, that metrics are tracked accurately, that meeting materials are prepared thoroughly, and that stakeholders have the information they need when they need it. While these responsibilities may seem operational in nature, they're actually critical to organizational effectiveness, and performing them well requires strong organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously.
- The role reports directly to the Manager, Supply Chain Programs, providing regular interaction with leadership and visibility into strategic decision-making processes. Leadership reviews like WBRs and MBRs are how our organization maintains alignment, tracks progress against objectives, and identifies issues that require attention. Preparing materials for these reviews requires gathering data from multiple sources, ensuring accuracy, organizing information logically, and presenting it in ways that facilitate effective decision-making. What You'll Do
Change Management Portal Operations
- Manage the Change Management intake portal, serving as the primary administrator and ensuring the system functions smoothly for all users across the organization
- Monitor incoming change requests, validating that submissions are complete, properly formatted, and contain all necessary information for evaluation
- Route requests through appropriate approval workflows based on change type, impact level, and affected stakeholders, ensuring requests reach the right decision-makers
- Conduct data accuracy checks on submitted requests, identifying inconsistencies or gaps and working with requestors to address them before routing for approval
- Track request status throughout the lifecycle from submission through approval to implementation, maintaining accurate records and ensuring visibility for stakeholders
- Follow up with request owners and approvers to maintain momentum, sending reminders when action is needed and escalating delays that threaten timelines
- Coordinate with cross-functional partners including supply chain operations, technology teams, finance, and others to gather necessary inputs and drive timely follow-through
- Maintain historical records of change requests, creating a searchable repository that supports analysis of change patterns and trends over time
- Generate regular reports on change request volumes, approval times, implementation success rates, and other key metrics that inform process improvements
PMO Operations and Business Review Support
- Organize and prepare materials for Weekly Business Reviews (WBR) and Monthly Business Reviews (MBR), gathering inputs from stakeholders across the organization
- Track required metrics for leadership reviews, ensuring data is current, accurate, and presented in consistent formats that facilitate comparison over time
- Coordinate with initiative owners to collect status updates, identify blockers or risks, and capture key accomplishments for inclusion in review materials
- Maintain consistent formatting and governance across presentation decks and reports, ensuring professional quality and adherence to established templates
- Distribute review materials to appropriate stakeholders in advance of meetings, allowing time for review and preparation
- Document action items and decisions from review meetings, tracking follow-through and ensuring accountability
- Support ad hoc analysis requests from leadership, pulling data, creating visualizations, and providing context that supports decision-making
- Maintain calendars for review meetings and other program management operating mechanisms, ensuring stakeholders are informed and meetings run on schedule
Process Documentation and Continuous Improvement
- Maintain Standard Operating Procedures (SOPs) for Change Management and PMO mechanisms, ensuring documentation remains current as processes evolve
- Create and update process maps that visually represent workflows, helping stakeholders understand how processes work and where they fit
- Develop and maintain templates for common document types, standardizing formats and making it easier for teams to provide required information
- Identify opportunities to streamline processes, reduce unnecessary steps, or improve user experience with Change Management and PMO systems
- Gather feedback from users and stakeholders about process pain points, compiling insights that inform improvement initiatives
- Support implementation of process improvements, updating documentation, communicating changes, and training users on new procedures
Project Coordination and Task Tracking
