Key Responsibilities

1. IOM Faculties Planning and Support

Strategic Resource Management

  • Ensure the IOM has appropriate resources allocated and that all team members, faculty officers, and volunteers receive comprehensive support
  • Conduct resource planning and capacity analysis to meet current and future faculty needs
  • Coordinate with HR and Finance to secure necessary staffing, budgets, and operational resources
  • Monitor resource utilization and recommend adjustments to optimize effectiveness

Business Planning and Strategy Development

  • Develop comprehensive annual business plans for the IOM in collaboration with the Faculties Manager and IOM Officers
  • Ensure business plans align with RCPI's overall strategy, objectives, and organizational priorities
  • Translate strategic goals into actionable initiatives with clear timelines, responsibilities, and success metrics
  • Monitor plan implementation and provide regular progress reports to leadership

Workload and Project Management

  • Initiate, plan, prioritize, and track all IOM activities and deliverables to ensure timely completion
  • Manage complex, multi-stakeholder projects from conception through execution
  • Create detailed project plans with milestones, dependencies, and risk mitigation strategies
  • Coordinate cross-functional teams to deliver on commitments within agreed timelines
  • Implement project management methodologies and tools to enhance efficiency

Strategic Representation

  • Represent the IOM on strategic projects, working groups, and college-wide initiatives
  • Serve as the voice of occupational medicine education in organizational discussions
  • Contribute expertise and insights to shape institutional policies and practices
  • Build bridges between the IOM and other faculties, institutes, and departments

Culture and Stakeholder Excellence

  • Support and develop a culture of continuous improvement, innovation, and excellence

Communications and Marketing

  • Contribute to annual communications and marketing planning for the IOM

  • Support recruitment efforts for training programs and faculty engagement initiatives

2. Governance Excellence

Governance Structure Management

  • Ensure consistent delivery and application of IOM governance structures, policies, and procedures
  • Maintain governance documentation, including terms of reference, standing orders, and decision-making frameworks
  • Coordinate governance meetings, including agendas, papers, minutes, and action tracking
  • Support effective governance practices that enable informed decision-making

Compliance and Standards

  • Ensure full compliance with the highest governance standards as established by RCPI Executive and Council
  • Monitor regulatory requirements affecting medical education and ensure IOM adherence
  • Implement audit recommendations and continuous improvement initiatives
  • Maintain transparency, accountability, and ethical conduct in all governance activities

Reporting and Accountability

  • Contribute to IOM annual reporting structures and requirements
  • Prepare comprehensive reports for governance bodies, accreditation reviews, and stakeholders
  • Track and report on key performance indicators, outcomes, and strategic progress
  • Support evidence-based governance through robust data collection and analysis

3. Operations Management

Process Design and Optimization

  • Design and streamline operational processes to enhance efficiency and improve faculty experience
  • Map current workflows, identify bottlenecks, and implement improvements
  • Standardize processes across the IOM in alignment with broader faculty structures
  • Leverage technology and automation to reduce administrative burden

Policy Implementation and Monitoring

  • Implement and monitor operational policies and procedures in conjunction with internal audit practices
  • Ensure policies are current, accessible, and consistently applied
  • Conduct regular reviews to assess policy effectiveness and compliance
  • Update procedures in response to changing requirements and best practices

Stakeholder Engagement and Partnerships

  • Engage proactively with internal and external stakeholders to foster productive partnerships

Event and Meeting Management

  • Attend in person at faculty-related events and governance meetings aligned with IOM Officer Days
  • Minimum onsite requirement: 2 days per week, with additional onsite presence during IOM events, examinations, and major meetings
  • Coordinate logistics for conferences, workshops, examinations, and professional development activities
  • Ensure seamless execution of events that enhance learning and professional networking

Business Planning Contribution

  • Contribute to annual business planning for the Registry workstream
  • Provide insights from IOM operations to inform broader organizational planning
  • Identify opportunities for collaboration and shared services across faculties

Administrative Support Excellence

  • Provide comprehensive administrative support for assigned faculties and institutes
  • Manage records systematically ensuring accuracy, confidentiality, and accessibility
  • Support departmental tasks including correspondence, documentation, and coordination
  • Assist faculty officers with diverse administrative requirements

Faculty Administrative Functions

  • Assist faculty officers with administrative tasks including scheduling, communications, and documentation
  • Coordinate stakeholder communications ensuring timely, accurate, and professional exchanges
  • Support recruitment processes to fill vacant faculty roles and committee positions
  • Maintain RCPI standing orders ensuring compliance and developing new approaches aligned with international best practice

Committee and Governance Support

  • Manage committee and governance structures including scheduling, agenda preparation, minute-taking, and action tracking
  • Support effective committee functioning through comprehensive administrative coordination
  • Ensure governance documentation is complete, accurate, and accessible

Event and CPD Management

  • Manage end-to-end events and continuing professional development (CPD) activities
  • Coordinate program planning, speaker coordination, registration, logistics, and evaluation
  • Ensure high-quality educational experiences that meet learning objectives
  • Track CPD credits and maintain accurate participation records

Reporting and Business Intelligence

  • Contribute to production of faculty-facing reports supporting Faculty Officers' decision-making
  • Analyze data to generate insights on program performance, trainee outcomes, and faculty engagement
  • Create dashboards and visualizations that communicate key metrics effectively

Business Development and Membership

  • Contribute to faculty business development and membership conversion initiatives
  • Work collaboratively with Alumni Relationship Officer and Membership Officer to enhance engagement
  • Support strategies that attract, retain, and develop IOM members
  • Identify opportunities for program expansion and new revenue streams

Sponsorship Management

  • Manage IOM-aligned sponsorship activities with defined targets and accountability
  • Cultivate relationships with corporate partners and healthcare industry stakeholders
  • Develop sponsorship proposals and manage fulfillment obligations
  • Track sponsorship revenue and ensure value delivery to partners

Required Qualifications and Experience

Education

  • Third-level qualification (Bachelor's degree minimum) in Business Administration, Healthcare Management, Education Administration, Project Management, or related field
  • Project management qualification (PMP, PRINCE2, Agile, or equivalent) required
  • Advanced degrees or specialized certifications in healthcare education or operations management highly desirable

Experience

  • Minimum three years' experience in a comparable education environment
  • Experience in medical training or program management highly desirable
  • Demonstrated track record managing complex projects with multiple stakeholders
  • Experience working in governance, compliance, or regulatory environments preferred
